Subject: Online Registrations Invited for Formation of Sports Club – 2025-26[Engg only]
All Engineering students of RGUKT Basar are hereby informed that the Sports Cell is initiating the formation of the Sports Club for the academic year 2025-26.
Interested students are invited to register online for various roles in the club.
Available roles:
Core commitee - 7
General secretary(GS)-2
Additional GS- 2
Game secretaries (M/w) - 21
Technical- 6
Media- 8
ground maintainance team- 7
Media team one from each respective departments and Ground maintenance exclusively for E1
Guidelines:
1. GENERAL SECRETARY
Responsible for leading the entire sports club, managing teams, coordinating with the Sports Cell, and ensuring smooth functioning of all sports activities.
2. ADDITIONAL GS:
Support the main coordinators, supervise event teams, and assist in planning, communication, and coordination of sports events.
3. Game Secretary
Handle event planning, venue arrangement, match timings, equipment coordination, and smooth conduct of all sports competitions.
4. TECHINAL Team Managers (Sport-wise)
Manage player registrations, team updates, communication, discipline, and match-day coordination for each sport.
Maintain match scores, update scoreboards, prepare final results, and ensure accuracy and transparency in record-keeping.
Handle sports equipment, setup, technical assistance, safety checks, and support referees with necessary materials
5. Ground maintenance team:
Prepare and maintain courts/grounds, assist with markings, venue readiness, discipline around venue, and event flow management.
6. Media, Photography & Promotion Team
Cover sports events by capturing photos/videos, creating highlights, updating HUB notices, and promoting sports activities.

3. Final positions will be allotted by the Sports Cell based on interest, previous experience (if any), and requirement.
4. Selected members must assist in organizing sports events throughout the year.

The following guidelines are issued for all Sports Coordinators to ensure smooth planning, management, and execution of sports activities at RGUKT Basar.
1. Roles & Responsibilities

Supervise student volunteers and allocate duties during events.
Oversee match arrangements, equipment, and ground/court setup
Ensure that all events begin and end on time.
Maintain discipline and promote fair play among participants

Prepare event lists, fixtures, and time schedules.
Ensure scorekeeping, result recording, and submission of final reports.
Coordinate with referees, judges, and physical directors as needed.
Ensure the availability of first-aid support during events.
3. Communication
Inform volunteers and teams about schedules, rules, and any changes.
Maintain regular communication with the Sports In-Charge.
Report any issues, conflicts, or violations immediately.
4. Equipment Handling
Ensure proper use and safety of all sports equipment.
