GREETINGS FROM THE DEPARTMENT OF PHYSICAL EDUCATION -Sports CELL

The Sports Cell is pleased and excited to formally announce the commencement of the **Engineering Branch Annual Games 2026–27** for all Engineering students from **E1 to E4 (Boys & Girls).

The Branch Annual Games are being organised with the objective of promoting sports participation, physical fitness, discipline, teamwork, leadership, healthy competition and overall student development.

The formal launch of the Branch Annual Games 2026–27 will be held on 15th September 2026. The activities will thereafter proceed in a phased manner as detailed below.


1. Launch of Branch Annual Games – 15th September 2026**

The **Engineering Branch Annual Games 2026–27 will be formally launched on 15th September 2026**.

All students are encouraged to actively participate in the sports activities and cooperate with the Sports Cell in making the games successful.

2. Practice Sessions – 15th September 2026 onwards**

Practice sessions for various games will commence from **15th September 2026** and continue up to the **end of the Dussehra vacation**.

Students are advised to utilize the prescribed practice period effectively for team formation, player selection, skill development, fitness and preparation for the competitive phase.

The practice sessions will facilitate:

* Team formation and preparation
* Player identification and selection
* Coordination among branch teams
* Familiarization with rules and playing conditions
* Fitness and skill development
* Preparation for competitive matches

Students shall strictly follow the timings and instructions issued by the Sports Cell and concerned coordinators.

3. Commencement of Competitive Games**

The **competitive phase of the Branch Annual Games will commence after the Dussehra vacation**.

The games will be conducted in a phased manner based on the availability of grounds, courts, officials, student participation and the academic calendar.

Wherever practically possible, **more matches will be scheduled on Saturdays, Sundays and other suitable non-academic days** so that regular academic activities are not disturbed.

4. Appointment of Faculty & Student Coordinators – By 20th September 2026**

The Sports Cell will initiate the process of appointing:

* Faculty Coordinators
* Student Coordinators
* Game-wise Coordinators
* Branch-wise Coordinators
* Student Volunteers
* Officials and support teams, wherever required

The finalization of the sports coordinating body is targeted by 20th September 2026**.

The coordinators will assist the Sports Cell in organizing, scheduling and conducting the games in a systematic and disciplined manner.

5. Constitution of Sports Body / Committees – By 30th September 2026**

The **Sports Body and various supporting committees shall be constituted and finalized by 30th September 2026**.

The committees may include:

1. Overall Games Coordination Committee
2. Game-wise Coordination Teams
3. Branch Coordination Teams
4. Fixtures & Scheduling Committee
5. Officials/Referees Coordination Team
6. Ground & Venue Management Team
7. Equipment Management Team
8. Discipline & Student Coordination Team
9. First Aid / Medical Coordination Team
10. Publicity & Documentation Team
11. Results & Records Committee
12. Volunteers and Support Team

All committee members and volunteers shall work under the overall supervision and guidance of the Sports Cell.

6. Finalization of Pools, Fixtures & Schedules – By 3rd October 2026**

The **pools, teams, fixtures, venues and game-wise schedules are proposed to be finalized by 3rd October 2026**.

The final fixtures will be prepared considering:

* Number of participating teams
* Availability of grounds and courts
* Academic timetable
* Monthly Tests and other examinations
* Holidays and vacations
* Sports Fest / Tech Fest schedules
* Availability of officials and coordinators
* Weekend and Sunday availability

The finalized fixtures and schedules will be displayed through **HUB / official Sports Cell communication channels**.

7. URGENT – RETURN OF SPORTS MATERIALS / EQUIPMENT**

All students of **E1 to E4 (Boys & Girls)** are hereby informed that a number of **sports materials/equipment were issued to students several years ago, including materials taken approximately 4–5 years back**.

All such students who are still in possession of any sports material issued by the Sports Cell are hereby instructed to **return the materials immediately to the Sports Cell**.

The returned materials are required for:

Physical verification and sports stock auditing
Updating and reconciling the Sports Cell inventory
Identifying missing, damaged and unusable materials
Assessing the actual requirement of sports equipment
Planning and procurement of new sports materials
Ensuring availability of adequate equipment for the 2026–27 Annual Games and future sports activities

Students are requested to understand that **returning the old/previously issued sports materials is their responsibility

Even if the material was issued 4–5 years ago, students who are still holding such equipment must ensure its return to the Sports Cell.

Students are advised not to retain any University sports material unnecessarily.

Failure to return the materials may result in the concerned student being treated as having pending sports dues subject to further action as per University/Sports Cell procedures.

All students are therefore requested to **check their rooms, belongings and previous sports issue records carefully and return any University sports material in their possession without delay.**

Students are requested to be responsible and cooperate fully with the Sports Cell in completing the stock verification and audit process.**

This exercise is essential for the procurement of new and required sports equipment for the benefit of all students.**

8. Academic Examinations – Strict Consideration

The Sports Cell will coordinate the games schedule with the academic calendar.

**No games/matches will be scheduled during Monthly Tests (MTs), major examinations or other important academic examinations.**

Academic commitments will be given due priority while preparing the fixtures.

9. Weekend & Sunday Scheduling

To minimize interference with academic activities, the Sports Cell proposes to conduct **more matches during Saturdays, Sundays and other suitable non-academic days**, wherever possible.

The scheduling will be adjusted based on examinations, ground availability, weather conditions, pending matches and availability of officials/coordinators.

10. Sports Fest / Tech Fest & Other Major University Events

The Branch Annual Games schedule will take into consideration the dates of the **Sports Fest, Tech Fest and other major University events**.

Wherever necessary, games will be suspended, rescheduled or adjusted during such events to ensure smooth conduct of both academic and co-curricular activities.


11. Athletics Events – 27th to 31st December 2026**

The **Athletics events of the Engineering Branch Annual Games 2026–27** are proposed to be conducted from:

27th December 2026 to 31st December 2026

The detailed programme for individual athletics events, reporting times, venues and event-wise schedules will be communicated separately by the Sports Cell.


12. Closing Ceremony

The **Closing Ceremony of the Engineering Branch Annual Games 2026–27** will be conducted after completion of the scheduled games and events.

The programme will include:

* Presentation of Winners and Runners-up
* Individual and Team Awards
* Medals and Trophies
* Recognition of Outstanding Sportspersons
* Appreciation of Coordinators and Volunteers
* Overall Branch Performance
* Valedictory / Closing Address

The **date, venue and detailed programme of the Closing Ceremony will be announced separately** by the Sports Cell.

 IMPORTANT GUIDELINES FOR ALL STUDENTS

1. **Proper sports attire and sports shoes are compulsory** during practice and matches.
2. Students shall maintain discipline and sportsmanship at all times.
3. Students must report at the venue well before the scheduled reporting time.
4. Students shall cooperate with faculty coordinators, student coordinators, officials and volunteers.
5. Students shall not enter or use sports grounds/courts without permission or outside prescribed timings.
6. Sports equipment must be handled responsibly.
7. **All previously issued sports materials, including materials taken 4–5 years ago, must be returned to the Sports Cell for stock verification and audit.**
8. Students shall not retain University sports equipment after completion of its intended use.
9. Any loss or damage to sports equipment may be dealt with as per applicable University procedures.
10. Arguments, misconduct, abusive behaviour or disruption of games will not be tolerated.
11. Match schedules and fixtures once finalized shall be followed strictly.
12. No games will be conducted during MTs and other major examination dates.
13. Changes due to examinations, weather, University programmes or unavoidable circumstances will be communicated through HUB.
14. Students are encouraged to participate in the spirit of **teamwork, discipline, fair play and healthy competition**.

The **Engineering Branch Annual Games 2026–27** are not merely a competition but an opportunity to develop **team spirit, leadership, discipline, fitness, responsibility and a positive sporting culture** across the University.

All students from **E1 to E4 – Boys & Girls** are encouraged to participate enthusiastically, represent their respective branches with pride and extend their full cooperation to the Sports Cell and coordinating teams.

The **Sports Cell, RGUKT Basar**, hereby urges all students to cooperate in maintaining and protecting the University's sports facilities and resources.

The sports grounds and facilities are primarily meant for **students who are actively involved in sports activities, practice sessions, selections, competitions, and other authorized sporting events**.

1. MANDATORY ID CARD

All students entering any sporting area or sports premises **must carry their valid University ID Card.

Students without a valid ID Card will not be permitted to enter any sporting area or premises.

2. UNAUTHORIZED ENTRY AND USE STRICTLY PROHIBITED

Unauthorized entry, loitering, or use of any sports facility is strictly prohibited.

This includes, but is not limited to:

Shathavahana Ground
Basketball Court
Kakatiya Ground
SAC Building and Sports Areas
Any other sports grounds, courts, or sporting premises

Students are requested **not to enter or remain in sports premises without a genuine sports-related purpose or authorization**.

3. SPORTS MATERIALS AND EQUIPMENT

It has also been observed that some students have been in possession of sports materials and equipment issued or taken from the Sports Cell **since 2020 onwards**.

The continued non-return of sports equipment has created difficulties in providing adequate facilities and resources to other students.

All students who are in possession of any sports materials or equipment are strongly urged to return them immediately to the Sports Cell.**

4. AN APPEAL TO ALL STUDENTS

The University and Sports Cell are continuously making every effort to provide and maintain the best possible sports facilities for students. However, the cooperation, responsibility, and accountability of every student are essential for the effective utilization and development of these facilities.

We urge all students to be responsible and accountable, not only for their own personal growth but also for the growth and development of their fellow students and the University as a whole.

2. Students are required to report at the venue **before 5:00 PM**.
3. Attendance is **mandatory** for all students whose names appear in the selected list.
4. Important responsibilities, game-wise duties, coordination procedures, discipline, fixture management and other arrangements related to the PUC Annual Games will be discussed.
5. Students shall carefully note their assigned responsibilities and cooperate with the Department of Physical Education & Sports for the smooth conduct of the Annual Games.
6. **No absence will be entertained without prior permission from the concerned Sports Department staff.**

NOTICE TO ALL STUDENTS

All students are hereby informed that the following instructions regarding entry into, use of and gathering in sports arenas shall be strictly followed without exception.
The sports facilities are dedicated University infrastructure meant ONLY for authorised sports activities. They shall not be used as general student gathering, sitting, roaming or recreational areas.

SPORTS ARENAS COVERED UNDER THESE GUIDELINES

The following areas shall be treated as restricted sports premises:
Shathavahana Ground
Kakatiya Ground
SAC Building and its sports areas

All other designated sports grounds, courts and sports premises under the Sports Department
1. AUTHORIZED SPORTS TIMINGS
Students involved in authorized sports activities may use the sports facilities only during the following timings:
MORNING: 6:00 AM – 7:30 AM
EVENING: 5:00 PM – 7:00 PM
Only students who are actively participating in authorised sports practice, training, matches, competitions or other sports-related activities are permitted to remain in the sports areas during these timings.

2. NO ENTRY DURING ACADEMIC HOURS
STRICTLY NO ENTRY INTO ANY SPORTS GROUND FROM 8:30 AM TO 4:30 PM
No student or group of students shall enter, sit, roam, gather or remain in any sports ground or sports arena during academic hours from 8:00 AM to 4:30 PM.
This restriction applies even if a student has no scheduled academic class at that particular time.
Students shall not treat free periods, cancelled classes, gaps in timetable or other academic-hour intervals as permission to enter or occupy sports grounds.
Academic hours are NOT sports-ground access hours.

3. NO GATHERING BEYOND AUTHORIZED SPORTS TIMINGS
Beyond the authorized sports timings, NO student or group of students is permitted to gather, sit, roam, loiter or move around in any sports area.
In particular, students are strictly prohibited from:
•	Gathering in Shathavahana Ground.
•	Gathering in Kakatiya Ground.
•	Gathering around the SAC sports areas.
•	Sitting near the Shathavahana Stage premises.
•	Sitting on or near the steps of the Shathavahana Stage.
•	Sitting beside, behind or around the grounds.
•	Roaming around sports grounds without involvement in an authorized sports activity.
•	Using sports premises as a meeting point or hangout area.
•	Forming groups anywhere within or immediately surrounding sports facilities.

4. SPORTS GROUNDS ARE ONLY FOR SPORTS
The sports grounds and sports arenas are NOT GENERAL STUDENT SITTING OR GATHERING AREAS.
They are exclusively intended for:
•	Sports practice
•	Sports training
•	Official matches
•	Competitions
•	Authorized sports events
•	Other officially permitted sports activities
NON-SPORTS STUDENTS ARE NOT PERMITTED TO SIT, ROAM OR GATHER IN SPORTS AREAS.
Students who are not participating in or directly involved with an authorized sports activity shall not enter or remain in the sports premises.

5. STUDENTS MUST VACATE THE SPORTS AREAS
Students participating in authorized sports activities must leave the sports premises immediately after completion of their scheduled activity.
Remaining in the sports premises after the permitted activity/timing for sitting, chatting, gathering or roaming is strictly prohibited.

6. NO EXCUSE FOR FREE TIME
Students are specifically informed that the following shall NOT be considered valid reasons for entering or remaining in sports areas:
•	Free period
•	No class
•	Cancelled class
•	Gap between classes
•	Waiting for friends
•	Waiting for another activity
•	Meeting friends
•	Sitting/resting
•	Casual conversation
•	Any other non-sports-related purpose

7. STRICT DISCIPLINE
All students must cooperate with the Sports Department, Security Staff, Sports Coordinators and other authorized University personnel in implementing these instructions.
Any student found violating these guidelines may be asked to immediately leave the sports premises and report to the concerned authority, wherever required.

8. DISCIPLINARY ACTION
VIOLATION OF THESE INSTRUCTIONS WILL BE VIEWED SERIOUSLY.
Disciplinary action will be initiated against students who fail to comply with these guidelines, as per the applicable University rules and regulations.
Repeated violations, unauthorized gathering, refusal to leave the premises, disobedience of instructions or creating disturbance in sports areas may attract appropriate disciplinary action under University rules.

9. STRICT COMPLIANCE – NO EXCEPTIONS
All students are therefore directed to understand the seriousness of these instructions and strictly comply with them without exception.

10. IDENTIFICATION OF VIOLATORS & DISCIPLINARY REPORTING
Security Staff and the staff of the Department of Physical Education and Sports are authorized to identify students found violating these instructions.
The ID Number of any student found entering, sitting, roaming, gathering or remaining in the sports premises in violation of these guidelines will be recorded and submitted to the competent authority for necessary disciplinary action.
Students are therefore strictly advised not to argue with, obstruct or refuse to cooperate with Security Staff or Sports Department personnel while enforcing these guidelines.
NON-COMPLIANCE WILL BE REPORTED.
Students are clearly cautioned that violation of these instructions may result in their ID Number being recorded and forwarded for disciplinary action as per University rules and regulations.
No student shall claim ignorance of these instructions as a justification for violation.

NO ENTRY INTO ANY SPORTS GROUND DURING ACADEMIC HOURS.
ACADEMIC HOURS: 8:30 AM – 4:30 PM - BEYOND AUTHORISED SPORTS TIMINGS:
NO GATHERING • NO SITTING • NO ROAMING • NO LOITERING
